When you run payroll, calculating the taxes and discovering your employees net pay is only the first part of the process. After youve run your payroll numbers, you face the important task of getting those taxes into the right hands and accounting for your payroll to the government. As a small business owner, it is your responsibility to:

  • Withhold all payroll taxes and submit them on time to state and federal agencies.
  • Report income, withholdings, matching of payroll taxes to the government quarterly.
  • Keep records of yearly payroll for state and federal reporting agencies.
  • Send W-2s and 10-99s to employees and contractors listed with the correct amounts of their gross/net pay and tax withholdings.

When you have the monthly deposit to submit, you must submit the funds electronically using one of the following methods: via a third-party network or by the Treasury Departments free Electronic Federal Tax Payment System online/over the phone.

Some small businesses, especially those with low liability, can opt-in to a yearly payroll payment. This requires filling out a Form 944. Check the governments website to check for current eligibility requirements.

If you are self-employed, youll need to gather your 1099-MISCs and file a Schedule C when you file your taxes .

Calculate Employee Gross Pay

Before you can calculate taxes, youll need to calculate employee payroll.

In our example, lets say that Aaron currently works in New Mexico. Hes a salaried employee, earns $60,000, and is paid semi-monthly, which means hes paid 24 times a year. Aarons gross pay each pay period is the same, $2,500, which is calculated by dividing his annual salary by 24:

$60,000 ÷ 24 = $$2,500

Now that we know Aarons gross pay for the period, we can calculate his payroll taxes.

How To Calculate Withholding

The IRS Form W-4 that employees fill out during onboarding has a worksheet to help them determine withholding. Additionally, employees may use the IRSâ Tax Withholding Estimator to perform W-4 checkups each year. Thatâs important to do especially if tax laws change or they experience a change in circumstances, such as the birth of a child or the loss of a spouseâs job.

Too little withholding could lead to unexpected tax bills or penalties, too much takes money out of their pockets unnecessarily.

State income tax is separate from federal taxation. States may require employees to fill out state W-4s however, IRS W-4 can be used to calculate state and/or local income tax withholding in lieu of other forms being available. Note that nine states have no income tax: Alaska, Florida, Nevada, New Hampshire, South Dakota, Tennessee, Texas, Washington and Wyomingâand again, consider local income tax.

How To Use The Tax Withholding Assistant

Open the Tax Withholding Assistant and follow these steps to calculate your employees tax withholding for 2022. Be sure that your employee has given you a completed Form W-4. The Assistant can accommodate Forms W-4 from both before and after the change in format introduced in 2020.

You will want to save a separate copy of the spreadsheet for each employee.

  • Indicate how frequently you pay your employee.
  • Specify which version of Form W-4 applies to the employee .
  • Enter the requested information from your employees Form W-4.
  • Save a copy of the spreadsheet with the employees name in the file name.
  • Each pay period, open each employees Tax Withholding Assistant spreadsheet and enter the wage or salary amount for that period. The spreadsheet will then display the correct amount of federal income tax to withhold.

    Calculating total work time for hourly employees is a little more involved than it is for salaried workers but not too complicated. Essentially, youll add all of the hours and minutes an employee worked for the pay period.

    For example, lets assume that an hourly employee has worked various hours throughout the week from Monday through Saturday and none Sunday. Lets calculate those hours and minutes to get the total hours worked for the period.

    This employees total work time for the week:8.67 + 8.17 +8.75 + 8.75 + 7.08 + 2= 43.42 hours
