Do you need a payroll account with the CRA?
First, determine if youre an employer. According to the CRA youre considered an employer if you pay salaries, wages , bonuses, vacation pay, or tips to your employees. You may also fall under the employer category if you provide specific taxable benefits to staff, such as automobiles or spending allowances. Even if you have no employees or employ seasonal staff, you must still report a nil remittance once per quarter.
Employers must register for a payroll program account with the CRA. To do so, youll need all employees Social Insurance Numbers and have them fill out form TD1 which should be done within seven days of hiring.
Once you register for an account youll be provided with 15-digit payroll account number. The first nine digits are your unique business number. In addition to EI and CPP you must also deduct federal and provincial income tax from employee wages. According to 2019 federal tax rates, you must deduct 15% on the first $47,630 of taxable income in our example above this means $150 on $1000 in wages. No employer contribution is required.

How Your Paycheck Works: Fica Withholding
In addition to income tax withholding, the other main federal component of your paycheck withholding is for FICA taxes. FICA stands for the Federal Insurance Contributions Act. Your FICA taxes are your contribution to the Social Security and Medicare programs that youll have access to when youre a senior. Its your way of paying into the system.
FICA contributions are shared between the employee and the employer. 6.2% of each of your paychecks is withheld for Social Security taxes and your employer contributes a further 6.2%. However, the 6.2% that you pay only applies to income up to the Social Security tax cap, which for 2022 is $147,000 . So for 2022, any income you earn above $147,000 doesnt have Social Security taxes withheld from it. It will still have Medicare taxes withheld, though.
There is no income limit on Medicare taxes. 1.45% of each of your paychecks is withheld for Medicare taxes and your employer contributes another 1.45%. If you make more than a certain amount, you’ll be on the hook for an extra 0.9% in Medicare taxes. Here’s a breakdown of these amounts:
- $200,000 for single filers, heads of household and qualifying widows with dependent children
- $250,000 for married taxpayers filing jointly
- $125,000 for married taxpayers filing separately

State And Local Payroll Tax
Employers are also responsible for paying state and local payroll tax on behalf of employees. As with federal payroll tax, part of this tax is employer paid and part is employee paid. Add The Employees Pay Information
You should see fields that say pay type, pay rate, hours worked, pay date,and pay period. Start with pay type and select hourly or salary from the dropdown menu.
If the employee is hourly, input their hourly wage under pay rate, and fill in the number of hours they worked that pay period. If the employee worked more than 40 hours, and thus accrued overtime, record 40 here and save the rest for additional pay.
If the employee is salaried, both the pay rate and hours worked fields will disappear. Instead, youll need to know how much the employee makes each pay period. Youll put that into the field labeled amount.
Then select the pay date and the employees pay frequencyor, rather, if you pay them weekly or every two weeks.

How Do I Affect Withholding Now
Since the 2020 W-4 is far simpler than it has been in the past, it might seem harder to change your total withholding. The loss of allowances on the form might seem especially irksome, but not to worry. There are still plenty of ways to affect your withholding.

Annual gross salary ÷ number of pay periods = gross pay for salaried employees
For example, if a salaried employees gross pay is $40,000 and you want to calculate their monthly or weekly pay, divide $40,000 by 12 or 52, respectively. Thus, a $40,000 salary results in gross pay of $3,333 monthly or $769 weekly.
